BACKGROUND/SUMMARY:
The County uses an outside vendor to perform janitorial services at all County facilities. The current contract has been in effect for almost 3 years and expires on June 30, 2019. In advance of the expiration date, staff prepared and advertised an RFP for these services. Only 2 responsive proposals were received and staff has identified Cleaning Services as the most-qualified firm. Cleaning Services has the current contract and they are performing well given the issues facing the janitorial industry.
The scope and frequency of services remains unchanged from the current contract, but due to increased costs in the industry and additional County facility square footage, this new contract is increasing in cost over the current contract by about $50,000 annually. However, in addition to being regarded as the more qualified company, Cleaning Services is also considerably less expensive than the other proposal received. The other proposal would have increased the current annual cost by $107,000.
Of the $170,432 annual cost, $100,307 is for subvented (non-general fund) departments and $70,125 is for general fund departments. This represents an overall annual general fund department increase of approximately $24,000 since subvented departments have a higher level of service and a larger increase in square footage.
