Approve agreement between Santa Cruz Regional 9-1-1 and the County of San Benito for Communications Services for a term of July 1, 2016 to June 30, 2017, with automatic renewals for an additional three years unless otherwise terminated.  The final budget for 2016-2017 is $463,677, which has increased from the previous estimate of $462,454.

The proposed contract is a one year contract from July 1, 2016 to June 30, 2017, with three automatic one year renewal options.  Costs are adjusted based on the cost sharing agreement, described in Policy Number 332. The third year will be reassessed in accordance with operational policies currently in place at SCR 9-1-1, specifically Policy Number 332.

This matter was approved on the May 24, 2016 but the contract that was presented to the Board had an "Exhibit B" and was for four years.  It has been clarified that the contract that was presented to Santa Cruz Regional 9-1-1 Board was only for three years, and did not have an Exhibit "B", and they have asked San Benito County to approve the attached contract instead of the contract that was presented to the Board previously. 

It is noted that there is an internal inconsistency in this contract (with three renewal terms on page one and four renewal terms stated in paragraph G), but since this has already been approved by the Santa Cruz Regional 9-1-1 Board, this is the contract that should be adopted by the Board of Supervisors.   

Also, it is noted that the final budget for 2016-2017 is $463,677, which has increased from the previous estimate of $462,454.

It is recommended that the Board of Supervisors: 

1. Approve agreement between Santa Cruz regional 9-1-1 and the County of San Benito for Communications Services for a term of July 1, 2016 to June 30, 2017, with automatic renewals for an additional three years unless otherwise terminated; and
2. Authorize the Chair to sign the agreement.
