BACKGROUND/SUMMARY:

The Central Air Conditioner located I.T. NOC failed during the summer of 2015.  ACCO Engineering Systems was the only responsive service provider available that carried the appropriate replacement system at the time.  Public Works Facility and Grounds Maintenance with Administration approval executed this emergency replacement in efforts to maintain system operations for County I.T.  Failure to act on this emergency replacement would have caused a shut down of the County computer infrastructure systems.  The item before your Board today is an after the fact contract that ratifies the expense, providing staff the ability to make payment for services and equipment installation.

STAFF RECOMMENDATION:

Staff respectfully recommends the Board of Supervisors:

1. Find and declare that the emergency HVAC system repairs were required in order to preserve essential County equipment in the I.T. service room, and protect essential County services, such that competitive bidding was not required. 

2. Ratify contract with ACCO Engineering Systems for the emergency replacement of one new wall mounted ductless split system air conditioner at the County Building located at 471 4th Street in the amount not to exceed $10,251.00 and expenses incurred prior to execution of contract documents, and;

3. Authorize the Chair to execute contract.
